Software Europe are working with Autolog to simplify the challenge of accurately recording your employee’s mileage expenses.

Utilising GPS technology this ‘gadget’ has been designed to track, log and create a report detailing the employees journey. An interface is being developed that will import an employee’s mileage, destinations and time period details from the GPS-unit directly into expenses; thus negating the manual input of this information.

How does it work?
Simply place the small pod-like GPS-unit in your car and it will automatically track the route and total mileage of a trip.

 

The GPS-unit is triggered by the vibrations of the car engine and logs the co-ordinates of the car every 30 metres. It will even discount any rest breaks on the journey as long as you pre-set a time limit. This ensures that a service station located on the M1 isn’t counted as a place your employee has visited, and the constant vibrations of the cars engine means being sat stationary in a traffic jam doesn’t count as a stop.

However, as long as the GPS-unit is charged and in the car, the vibrations of the engine will automatically switch it on and log the journey details.

When the employee returns to the office/laptop they simply connect the GPS-unit, using a USB cable, to their pc and the information is automatically configured into a report that can be imported directly into expenses which further reduces the time the employee spends completing their expenses claims.

Employees can even see the exact route they took on Google Earth which pinpoints the start and of the journey as well as any stops in between!
