Software Europe has recently under-taken a development partnership with a large IT services provider, to enhance our web-based contract management system to manage multi-client contracts and the associated contract challenges and tasks.
Previously, this services provider had several spreadsheets and access databases used by individuals to track contractual information. This did not facilitate management reporting or data sharing that could improve efficiency and cost savings. Also, due to the nature of the business of IT sourcing and internal chargeback, we identified some areas in Framework that did not include the optimum functionality to manage the outsourcing contracts, vendors, products and clients. Hence, we embarked on a development partnership to deliver and implement the required functionality as an optional module within Framework:
Client Definitions
A new area in Framework will have to be defined that contains the various new facilities surrounding recharge and outsourced client functionality. Each outsource client (or client included in recharging) will be defined on the Client Recharge menu. All clients can then be assigned to contracts for recharge purposes.
Relevant Fields Only
Also, improvements were made to the screens to show only relevant fields for population (i.e. Network contracts will only show product fields such as Circuit ID, Type or Speed). Providing this functionality would enable the various teams to only be presented with the fields that are relevant to the Contract Category. The display of redundant, blank or unfamiliar fields risks information overload to the user, adding to their confusion and misunderstanding.
Applying Recovery Proportions
The critical element recharging functionality is the capability to apply the recharge proportion of a contract to the individual products. A screen will be provided where a matrix of client and product items will be displayed.
The total cost of the contract will be displayed. The proportions will be able to be specified either as fixed monetary amounts, or as a percentage. If proportions or percentages are used, the monetary amounts will be calculated in addition to the amount remaining un-recovered.
Reports
Impact Analysis - Should a client leave, the impact analysis will provide a report stating all contracts they are utilising and the portion of it that they are recharged. The amount reported would inevitably become un-recovered cost that would require addressing.
Un-recovered costs -
It will not always be possible to recover 100% of the cost of a contract. The report will detail contracts that have a proportion of its cost that remains un-recovered.
